Stanley Services Limited (SSL) owns and operates the Malvina House Hotel (MHH) and Darwin House (DWN) and is dedicated to protecting its customer’s privacy and their personal information. This privacy statement explains the processes around what data we collect about you, how it is obtained, what it will be used for and who will access it.

SSL is committed to ensuring that all personal information is processed in line with the General Data Protection Regulations (GDPR) and the Payment Card Industry Data Security Standards (PCI DSS) throughout the information lifecycle.

This privacy statement applies to the information held about you that can be used to identify you as an individual, known as personal information. Personal information includes, but is not limited to, your name, addresses, telephone number, email address, credit card or other billing information. By providing personal information to SSL, you acknowledge that you understand and agree to the terms of this privacy statement and the subsequent processing of your personal information in accordance with this statement.

What Personal Information is being collected and why?

When booking a room reservation or a meal, we will ask for the following:-

  • Date of stay, number of people in room/party
  • Your full name
  • Personal contact information, including your email address and telephone number
  • Your address and postcode for demographical purposes
  • Your company name and job position if a business booking
  • Guest stay information, including date of arrival and departure, special requests made, observations about your service preferences (including room preferences, facilities or any other services used
  • Dietary and allergies requirements
  • Credit card details (type of card, credit card number, name on card, expiration date and security code) This information will only be kept for the purpose of that securing room reservations and taking a deposit and securely disposed of when no longer needed for the reservation.

When joining our loyalty scheme

  • With the exception of credit card details but In addition to the above. To administer and manage your membership and to participate in promotional offers

This allows MHH/DWN to process:

Reservations: we use your personal information to complete and administer your reservation.

Guest reviews: we may use your contact information to invite you by email to write a guest review after your stay. This can help other travellers to choose the accommodation that suits them best.

Other communications: there may be other times when we get in touch by email, by post, by phone , social media or by texting you, depending on the contact information you share with us. There could be a number of reasons for this: ◦We may need to respond to and handle requests you have made.

When you use our services, we may send you a questionnaire or invite you to provide a review about your experience with our website.

Legal purposes: In certain cases, we may need to use your information to handle and resolve legal disputes, for regulatory investigations and compliance.

Fraud detection and prevention: we may use your personal information for the detection and prevention of fraud and other illegal or unwanted activities.

Heath, safety and Security, to know who is in the building and using the services provided, to enable us to provide an evacuation list if required e.g. In the case of a fire

Improving our services: finally, we use your personal information for analytical purposes, to improve our services, to enhance the user experience, and to improve the functionality and quality of our products and services.

How your Information is Collected and Stored?

All customer personal data is collected directly from the customer in connection with the room or meal reservation or a service provided by SSL. The information is collected via but not limited to the following:

  • MHH and DWN websites and Social Media Platforms;
  • Via Email and online enquiry forms
  • By filling in any printed form we provide you with
  • A phone call made to one of MHH/DWN representatives
  • In person at the Malvina House Hotel or Darwin House
  • Via a travel or booking agent

 Information will be stored on the Hotel Management System

 How we use your information

Your personal information will only be used for the specific purpose that the information was collected for, if your information is to be used for any other purpose other than what it was originally intended then SSL will always gain explicit consent from its customers beforehand. Your personal information will only be kept for the period that it is required, once that time has elapsed your information will be securely deleted/disposed of.

We use information collected for the following, but not limited to purposes:

  • To create a guest history if a regular guest;
  • To make your room or meal reservation;
  • Assist in the transaction to secure your room or meal reservation ;
  • To administer and manage your membership to the loyalty scheme
  • To confirm and verify your identity for fraud prevention;
  • To provide customer service in relation to your room or meal reservation or to respond to an enquiry made;
  • To contact you about a lost property left during your visit/stay;
  • To bill and collect any amounts owed in connection with your stay/meal;
  • If opted in, to provide you with marketing offers from MHH/DWN;
  • If opted in, to help MHH/DWN improve its products or services by completing customer feedback on the service received from MHH/DWN;
  • To protect the rights and property of MHH.

Disclosure of information to third parties

SSL will never sell your personal data to third parties and we do not disclose your information to any third parties or bodies with which we are not associated unless we have your permission to do so or are required to do so by law.

SSL will only share your information where you have consented to the sharing or for the purpose of the transaction or process to take place that the information was provided for, i.e. to carry out the reservation

SSL may use other companies as our service providers to act on our behalf and assist us in the conducting of our business or performing services for us under our instruction i.e. hosting a website or database. Any third party that has access to personal information will maintain appropriate security standards in line with that of SSL to protect your personal data and use the personal data we provide to them only for the purposes we specify and that you have consented to.

Sharing this information for protective or legal uses

We may share your personal information for legal reasons as we believe necessary or appropriate, including:

  • When legally required to or in response to a legal process;
  • For the detection or prevention of a serious crime;
  • Under applicable law, including laws outside your country of residence;

Customers can request copies of the personal information held about them at any time and to advise us of any amendments to keep the information up to date. We have strict procedures for storing and disclosure of personal information to prevent unauthorised access. Therefore, we will ask for proof of identity before we disclose any information to you. Customers can withdraw their consent at any time to stop SSL from processing or accessing their information in line with Article 7 of the General Data Protection Regulations – exemptions to certain information apply.

Stanley Services is a Falkland Islands registered company 8257 and are governed by Falkland Islands Law.  This policy is subject to the law of the Falkland Islands, and you must bring any claims against us (non) exclusively in the courts of the Falkland Islands.
